Privacy

This notice applies to registering for the State of AI event (ziya.de/soai26) on 09 September 2026 in Dortmund. It supplements Ziya's general privacy policy.

What data we process

To handle your registration we process the details you provide: first name, last name and email address. Technically, a timestamp and your IP address are also stored at the time of registration.

Purpose and legal basis

We use this data solely to process your registration, organise your attendance and contact you in advance with the event details. The legal basis is Art. 6(1)(b) GDPR (carrying out the steps you requested) and your consent under Art. 6(1)(a) GDPR. The data is not used for advertising.

Storage and disclosure

The registration data is stored on our server and in an internal organisation tool we use to manage the attendee list. It is not passed on to third parties for their own purposes. Access is limited to the Ziya team organising the event.

Retention

We store your registration data until the event has concluded and delete it afterwards, at the latest three months after the event - unless statutory retention obligations apply or you request deletion earlier.

Photos and video at the event

Photos and video may be taken at the event. We may use these for documentation and for our public relations, for example on our website, in presentations and on social media. The legal basis is our legitimate interest in documenting and promoting our events (Art. 6(1)(f) GDPR) in compliance with sections 22 and 23 of the German Art Copyright Act (KunstUrhG).

If you do not wish to appear in any recordings, simply let our team know on site or contact us in advance at info@ziya.de. We will then endeavour not to depict you or publish such recordings.

Your rights

Under the GDPR you have the following rights:

  • Access to the data stored about you (Art. 15)
  • Rectification of inaccurate data (Art. 16)
  • Erasure (Art. 17) and restriction of processing (Art. 18)
  • Data portability (Art. 20)
  • Objection to processing (Art. 21)
  • Withdrawal of consent with effect for the future (Art. 7(3))

To exercise your rights, a message to info@ziya.de is sufficient. You also have the right to lodge a complaint with a data protection supervisory authority, such as the State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia.
